How to text clients by SMS and WhatsApp from the CRM
Send SMS through your own SMS account and open WhatsApp with the message ready, straight from a client's page, with every message kept on their timeline.
You can message a client by SMS or WhatsApp without leaving Estate CRM. Write the text yourself or let AI draft it, check it, and send. Every message is noted on the client’s timeline, so the whole team sees who said what.
How do I connect SMS?
SMS goes out through your agency’s own account on smscy.com and uses your own SMS credits there. The agency owner connects it once:
- In the sidebar, under Admin, open SMS.
- Copy the API token from your account on smscy.com, paste it into API token and click Save.
- Optionally, enter a Sender name (up to 11 letters or digits, for example your agency’s name) and click Save. It must be approved on your SMS account. Leave it empty to use the account’s default.
- Under Send a test, enter your own mobile with the country code (for example +357 99 123456) and click Send test.
The page then shows your Credit left, how much was sent in the last 30 days and your Recent texts, including any that failed.
How do I send an SMS to a client?
- Open the contact and click SMS.
- Choose the number under To if the client has more than one.
- Write the message, or pick what it’s about and click Write with AI. See AI writing.
- Click Send SMS.
From a listing
On a listing that is on the market, click Send SMS. Pick one of the matched clients (best match first, with their mobile number) or search for another client. The message window then opens with SMS, New listing for them and the listing already chosen.
Under the message you’ll see how many parts it will use. Standard text fits 160 characters in one part. Greek letters or special characters allow 70 per part, so a Greek message costs more credits than the same length in English.
Anyone who can see the contact can text them. If SMS isn’t connected yet, the dialog says so, and the owner gets a Set up SMS link.
Can I get my own alerts by SMS?
Yes. Once SMS is connected, anyone in the team can choose to get alerts such as new enquiries or reminders as a text to the mobile number on their profile. They are short, never include client details and use the agency’s SMS credits. See notifications.
How does WhatsApp work?
WhatsApp messages go from your own WhatsApp, not from the CRM.
- Open the contact and click WhatsApp.
- Write the message, or use Write with AI.
- Click Open WhatsApp. WhatsApp opens with the client’s chat and your message filled in. Press send there.
The message is added to the client’s activity at the same moment. Nothing else is needed: no account or setup in the CRM.
Where else can I message clients?
The same message window opens from a deal, and from a viewing form’s Send link menu, so you can send the client the link to sign by SMS or WhatsApp. Share links to listings can also be sent by WhatsApp from the share window.
Follow-up sequences can include SMS steps that go out automatically. See follow-up sequences.
